What project we have for you

We are looking for a Senior Facility Specialist who will take full ownership of office operations, combining hands-on execution with coordination and management of facility-related activities.

This role is not limited to planning and supervision – it also requires direct involvement in day-to-day operations, including troubleshooting, minor repairs, coordination of on-site works, and immediate response to operational issues. You will work closely with the business center management, external vendors, and internal teams to ensure smooth, safe, and efficient office operations.

The position also involves driving process improvements, supporting office relocations and space changes, and maintaining high operational and safety standards. This role is ideal for a proactive professional who is comfortable both organizing work and executing it personally.

What you will do

  • Ensure smooth day-to-day operation of the office and engineering infrastructure.
  • Manage and coordinate external vendors and service providers (business center management company, cleaning, security, engineering systems, utilities).
  • Participate in regular meetings with the business center management; conduct negotiations and monitor SLA/KPI compliance and deadlines.
  • Independently initiate and coordinate service provider visits; diagnose and resolve issues related to power supply, water supply, HVAC, office equipment, and other facility systems.
  • Handle complex technical requests and emergency situations; ensure timely resolution of Service Desk tickets.
  • Be responsible for fire safety and occupational health & safety; support inspections by regulatory authorities and ensure execution of corrective actions.
  • Plan and control preventive maintenance activities; conduct daily office inspections according to checklists and standards.
  • Manage procurement, inventory, and standards for office furniture and equipment supply.
  • Conduct inventory of company assets in office and warehouse/storage facilities; maintain accurate and up-to-date asset records.
  • Control operational expenses (OPEX); participate in budgeting, forecasting, and cost optimization initiatives.
  • Maintain supporting documentation (acts of completed works, invoices, payment requests) and prepare regular reports.
  • Prepare workplaces for new employees and support onboarding processes.
  • Coordinate office relocations, opening and closing of locations, and launching of new office spaces.
  • Provide operational support for internal events, business visits, corporate events, conferences, trainings, and exhibitions.
  • Ensure implementation of eco-initiatives (waste sorting, energy efficiency, etc.).
  • Coordinate actions in emergency and non-standard situations; participate in development and regular updates of emergency response plans.
  • Collaborate with all company departments on matters related to office infrastructure.
  • Initiate and implement improvements to facility management processes, standards, and overall operational efficiency.

What you need for this

  • Previous experience in a customer service- or operations-oriented environment.
  • General technical knowledge, including basic understanding of electrical systems.
  • Confident computer skills, including Office 365 and internet research.
  • English proficiency at Intermediate (B1) level or higher.
  • Strong communication skills and ability to interact with multiple stakeholders.
  • High attention to detail and strong task prioritization skills.
  • University degree or equivalent professional experience.

Will be a plus:

  • Certificate permitting work with electrical networks.
  • Experience in facility management or office infrastructure.
  • Valid driving license (Category B).
  • Experience working in IT companies or multi-location environments.
  • Knowledge of fire safety and occupational health & safety requirements.
