Scam prevention and AI use policy in the hiring process

Intellias is committed to maintaining a fair, transparent, and secure hiring process for our candidates. We highly value honesty and professionalism and expect all candidates to comply with the rules outlined in this policy. The policy is designed to protect the interests of Intellias and all participants and to ensure equal conditions throughout the hiring process.

Communication channels

Intellias communicates with candidates exclusively through official and verified channels. These include applications submitted via the corporate website, verified emails, or trusted recruitment platforms. Candidates are advised to engage only through such channels to avoid fraudulent activity.

Interview integrity and authenticity measures

To ensure the integrity of the recruitment process, Intellias may apply reasonable measures during remote interviews, including:

  • Video communication. Candidates may be required to participate in the interview with video enabled, where technically feasible, in order to support real-time interaction and reduce the risk of impersonation. The video image must be clear, and the face must remain fully visible.
  • No use of visual filters. Candidates are expected not to use visual filters, masks, or other tools that materially alter or obscure their appearance during the interview.

The implementation of these measures is guided by the following principles:

  • Legal basis. Such processing is based on Intellias’ legitimate interest (Article 6(1)(f) GDPR) in ensuring a secure, reliable, and fraud‑resistant recruitment process.
  • Necessity and proportionality. Measures are limited to what is necessary to achieve these purposes and are implemented in a manner that minimizes intrusion into candidates’ privacy.
  • Safeguards. No biometric identification or automated facial recognition technologies are used.
  • Candidate rights. Candidates may object to such processing under Article 21 GDPR. Where a justified objection is raised, Intellias will assess whether reasonable alternative arrangements can be offered.
Prohibition of external assistance and AI use

To ensure an objective and fair assessment of candidates’ skills and competencies, the following rules apply:

  • Independent participation. All answers, tasks, and assignments completed during the interview must reflect the candidate’s own knowledge, skills, and experience.
  • Artificial Intelligence use. Candidates should not use any AI-based tools, external software, applications, or other resources that that provide answers, hints or generate content during interviews or assessments. It is important to work independently.
  • Technical interviews and screen sharing: During technical interviews that involve live coding or practical tasks, candidates may be required to share their screen or use a visible split‑screen setup. Any information displayed during such interviews is processed solely for internal evaluation purposes, within the scope and duration necessary for recruitment, and in accordance with applicable data protection legislation.
  • Third‑party involvement. Participation or assistance of any other individual during interviews or assessments is strictly prohibited. The candidate is the only participant in this process. For verification, recruiters or interviewers may request a brief visual confirmation that the candidate is alone in the room. Any information incidentally displayed during such confirmation is not recorded, stored, shared or otherwise processed in accordance with applicable data protection legislation.
Information transparency and accuracy

Candidates are expected to provide complete, truthful and accurate information throughout the recruitment process.

  • Truthfulness. All information related to professional experience, education, qualifications and skills must be correct and accurate. The submission of false or fraudulent information, including fabricated or altered certificates and diplomas, is strictly prohibited. This applies to your resume, interviews, and more.
  • Openness. If a candidate is uncertain about an answer or task, honest communication with the recruiter or interviewer is encouraged and considered a sign of professionalism. Often, it is the best way to move forward.
Consequences of policy violation

Any breach of this policy, including but not limited to the use of artificial intelligence tools, provision of false information or involvement of third parties, may result in one or more of the following actions:

  • Invalidation of interview or assessment results.
  • Withdrawal of a job offer, if one has already been extended.
  • Intellias reserves the right to take appropriate measures proportionate to the nature and severity of the violation, in accordance with applicable law.

Intellias reserves the right to immediately terminate the recruitment process for any candidate who violates this policy. Given our commitment to a fair and transparent process, a violation of these rules could impact a candidate’s future eligibility for future recruitment opportunities with Intellias.
